WHAT YOU NEED TO KNOW:

Go-Live date for VGH, GRH and South Island Surgical Centre is Saturday, September 14, 2024

Victoria General Hospital (VGH), Gorge Road Health Centre (GRH) sub-acute units and South Island Surgical Centre (SISC) are the next South Island sites scheduled to go live with computerized provider order entry (CPOE) and other advanced tools in the electronic health record.

 

“Refresher” skill sharpeners for medical staff working at VGH, GRH and SISC

“Refresher” skill sharpener sessions have been set up for physicians who practice solely at VGH, Gorge or at South Island Surgical Centre (or for physicians who have not yet completed a shift at RJH).  We will also focus on orders management and transitions in care per our lessons learned at RJH.

It’s highly recommended that you attend one of these sessions, which will take place via Zoom and run one hour. Session dates/times vary by department and will take place between August 28 and September 13. For this additional education, you will be remunerated up to two hours of your time at the non-clinical education rate.

Video: Learn about “orders hygiene”

We recommend all providers and clinicians review the patient’s orders profile on a regular basis and after each change of care venue and/or service provider. Orders management, or “orders hygiene” includes reviewing the orders profile, reviewing and discontinuing unnecessary order sets, performing an order reconciliation and in some cases reviewing the MAR summary. Dr. Andre de Wit, IHealth Lead for Provider Education and Experience, goes over this process step by step in this 8-minute video.

 

CME credits and remuneration for CPOE education

CME Credits: You are eligible for CME credits for your completed CPOE/EHR education. You will receive a post education survey on September 13; upon completion of the survey the credits will be issued.

Remuneration: You will be compensated at the non-clinical sessional rate for six hours of CPOE education, with payment issued within six weeks of education completion.

 

WHAT YOU NEED TO DO:

Personalization Sessions for VGH September 3 to 20

Get 1-to-1 support as you set up your provider preferences and key settings at a Personalization Session before Go-Live at VGH, GRH and SISC. Sessions lasting 30 to 60 minutes are offered at VGH 7 a.m.  to 4 p.m. seven days a week from September 3 to 20. They are offered in the Surgical Lounge, Physician Lounge, Engagement Lab, Perinatal areas and through rounding at VGH. Pizza and CPOE at RJH (co-sponsored by MSA)

IHealth is teaming up with South Island MSA to offer a drop-in evening session for CPOE practice and pizza. Join Dr. Andre de Wit for hands-on help from 6 to 7:30 p.m. on Wednesday, September 4 at the RJH Administration Building, Room 102. If you missed the RJH Go-Live in June or haven’t had many opportunities to use the new system, this event is for you.

 

Visit Engagement Labs for practice and support

ProEX staff are again at both RJH and VGH Engagement Labs Monday through Friday, 7 a.m. to 3 p.m.

  • VGH Engagement Lab: S275, next to physician lounge

Many medical staff have commented on the value of receiving 1-to-1 training with a ProEX member. There is an opportunity to go into greater detail and answer specific questions around how to use CPOE tools with your specialized workflow.

 

HOW WE’RE MAKING PROGRESS:

Deployment of devices for VGH/GRH/SISC CPOE Go-Live on track

In preparation for Go-Live on September 14:

  • Delivery and functional testing of devices commenced beginning of August
  • 843 out of 979 devices delivered
  • Clinical workflow testing of devices commenced August 19
  • Walk-throughs and re-validation of device requirements in key clinical areas completed

 

How does the IHealth team determine how many devices are needed for a successful CPOE launch?

The requirements of all units/locations are assessed by clinical informaticists who have extensive clinical experience as well as expertise in Cerner ClinDoc and CPOE clinical workflows. In addition to considering clinical workflows, factors such as patient ratios, clinical service types, clinical team composition, space availability, construction, millwork, data and power are also evaluated, as well as input from clinical and medical leaders and staff.

There will be opportunity for minor adjustments as required once clinical areas begin working in CPOE.
